3. Image Use & Subject Rights
3.1 Portfolio Use
Unless explicitly prohibited in writing prior to a session, Loon Haus Media reserves the right to use select images for portfolio, website, and social media purposes. This includes images taken at:
Sporting events and athletic competitions
Tournaments and public events
Commercial and editorial sessions (subject to signed agreement)
Images used for portfolio purposes will not include personally identifiable information (such as full name, address, or contact details) alongside the photograph without consent.
3.2 Minors
Photographs of minors (individuals under the age of 18) require explicit written consent from a parent or legal guardian before being used in any public-facing portfolio, marketing material, or social media post. Images of minors captured at public events (such as athletic competitions) may be published in a general editorial or event context unless a parent or guardian has opted out in writing.
If you wish to restrict the use of a minor's image, please notify us in writing before or at the time of the event at Kevin@loonhausmedia.com.
3.3 Opting Out of Portfolio Use
Any client or subject may opt out of portfolio or marketing use at any time by contacting us at Kevin@loonhausmedia.com. We will remove previously published images from our active marketing channels within a reasonable timeframe upon verified request. Note that images already distributed or published to third parties (e.g., shared by clients) cannot be recalled.
3.4 EXIF & Metadata
Images delivered to clients may contain embedded metadata including camera settings, date, time, and location data. Clients are responsible for managing or stripping metadata from files shared publicly if they have privacy concerns about this information.
4. Marketing Communications
4.1 Email & Contact List
If you have submitted an inquiry or booked services, you may receive occasional emails from Loon Haus Media related to:
Session reminders and follow-ups
Gallery delivery notifications
Occasional promotional offers or seasonal updates
You may opt out at any time by replying "unsubscribe" to any email or by contacting Kevin@loonhausmedia.com. We do not send unsolicited bulk marketing emails.
4.2 Social Media
When Loon Haus Media shares images on social media platforms (Instagram, Facebook, etc.), those platforms are governed by their own privacy policies. We are not responsible for how those platforms collect or use data associated with posted content.
We will not tag individuals in social media posts without their reasonable expectation of being tagged (e.g., clients who have followed or engaged with our accounts).

Our website or gallery platform may use tracking pixels or cookies from third-party advertising platforms (such as Meta or Google) to serve relevant ads to prior visitors. We retain client information for as long as necessary to fulfill the purpose for which it was collected, including for legal, accounting, or reporting requirements. General guidelines:
Gallery and image data — retained for a minimum of 1 year from session date; clients are encouraged to download and back up their own copies
Client contact and booking records — retained for up to 3 years
Payment records — retained as required by applicable tax and financial regulations
